Job description

Project Manager - Workplace Services
Reports to Workplace Director
2-year fixed term contract
Business Operations, Group Partner Operations
Large scale programmes, some exceeding £10mThis is a delivery-heavy role at the centre of workplace transformation rather than a purely administrative PM position. You will take ownership of end-to-end workplace projects such as office fit-outs, relocations, operational transitions and hybrid working enablement. The focus is making complex change happen in a live business environment while people are still doing their day jobs. Success is measured by continuity of operations, stakeholder confidence, and smooth adoption, not just project closure.
You will coordinate internal teams, suppliers, consultants and senior leadership, ensuring programmes land on time, on budget and with minimal disruption. Alongside traditional delivery, the role carries a strong sustainability dimension including reuse-first strategy, material passporting and environmentally responsible procurement decisions.

What you will do
• Build and manage detailed project plans, timelines, budgets and resource allocation
• Lead cross-functional project teams in a matrix environment, clarifying responsibilities and accountability
• Deliver workplace fit-outs, office moves and operational transitions from design through to handover
• Coordinate logistics including IT and AV setup, furniture installation and staff relocation
• Manage contractors, consultants and suppliers to ensure quality and timely delivery
• Conduct site visits, oversee snagging, handover and post-project support
• Maintain operational readiness while projects are underway in live business environments
• Act as the main liaison between business stakeholders and delivery partners
• Support the adoption of agile and hybrid working practices alongside Workplace Engagement
• Align logistics and operational changes with organisational change and communications plans
• Promote sustainability across the lifecycle of each project
• Contribute to material passporting, circular economy initiatives and reuse-first strategies
• Ensure environmental considerations inform procurement, fit-out and disposal decisions
• Provide regular reporting and updates to senior stakeholders and the Workplace Director
• Maintain full project documentation including risks, change control and performance reporting
What we are looking for
• Minimum 5 years’ project management experience, ideally workplace moves, fit-outs or operational change
• Strong understanding of building operations, logistics and workplace environments
• Experience managing vendors, contractors and internal teams simultaneously
• Confidence working with senior stakeholders in sensitive environments
• Experience delivering projects within structured methodologies such as PRINCE2, Agile or PMI
• Budget management and risk mitigation experience
• Ability to influence in a matrix organisation and bring people with you through change
• Excellent communication skills, written and verbal
• Strong stakeholder management and expectation setting capability
• Experience using project planning and reporting tools
• Interest or experience in sustainability, circular economy or material reuse
• Exposure to digital, software or web-related projects is advantageous

How you will operate
You will be a visible delivery lead, comfortable on site, in workshops and in senior meetings. You can balance operational detail with strategic objectives, anticipate risks before they escalate, and maintain trust across multiple stakeholder groups. You are organised, pragmatic and solutions-focused, able to keep momentum even when requirements evolve.

Key capabilities
• Project leadership and risk management
• Business and commercial awareness
• Change advocacy and stakeholder engagement
• Results driven delivery
• Collaboration and influence across teams and partners

This is an opportunity to lead highly visible workplace transformation programmes and shape how employees experience their working environment, while embedding sustainable practices into the physical workplace estate.
